Help Desk Tip of the Week

Stony Brook Zoom Meeting System

As a result of COVID-19, Stony Brook’s use of Zoom has grown exponentially with the shift to online and hybrid learning & meetings, and because many class lectures and university events have been recorded with Zoom, this also means our use of Zoom cloud storage is quickly approaching our limit. Due to the heavy utilization of Zoom cloud storage and the resulting cost to the University to purchase additional storage, we will need to limit the length of time recordings can be stored in the Zoom cloud.

Starting June 1, 2021, Zoom cloud recordings older than 180 days will automatically be deleted and sent to a trash folder.  This action will be on a rolling basis and recordings will be removed after they pass the 180 day mark.  If you wish to keep your recordings, instructions are provided below.  Please note that Zoom recordings saved locally to your computer are not affected by this policy.

Interested in keeping your recordings?

The deleted recordings will reside in Zoom Trash for 30 additional days for recovery before permanent deletion.  You will receive a final notice exactly 7 days before the recording is permanently deleted.  Here are instructions to recover your recordings.

If you would like to move your recordings to Google Drive, log into click on the “Recordings” tab on the left and then download your preferred recordings.  You can upload the recordings to your  Google Drive or OneDrive for future use and reference.

Faculty who use Echo360 can move Zoom recordings to their Echo360 courses.  Instructors can log into and toggle a switch in their Account Setting -> Zoom Settings. Once this option is enabled, recordings will automatically be copied to the Echo 360 library and/or class as desired. See here for more details.

Should you have any questions, please contact Stony Brook University’s DoIT Service Desk at or call 631-632-9800

Creating Environments of Respect & Inclusion- Virtual Instructor Led Training classes (CERI VILT)
It is the aim of Stony Brook Medicine to create and sustain a community that values excellence and embraces the diversity of thought and experience of its patients, staff, and students.  We recognize that the barriers to achieving this aim are not always obvious.  This program has been developed to shine a light on implicit biases and begin a discussion that will increase our awareness of how these unconscious actions impact our patients and co-workers.

C.E.R.I. workshops are part of the campus journey to enhance our efforts at recognizing and celebrating the wonderful diversity which make up our community.

VILT is a live, online learning and development event where the instructor and participants are in separate locations and meet using an online collaboration platform like Zoom.  Unlike other forms of training you might complete on a computer, VILT is highly interactive.
